The Vessel Information Module

 

When you first use VMS you're advised to enter information about  your  vessel.  Page details are protected by default, so you must activate the page to facilitate editing (Click Enable Page Details).  Enabling Page Details is only available when you are the Administrator.  You are the Administrator when working on the Default Data file on a local computer.  (For instance, many owner/operators working on a single computer will be administrators whether they know it or not.)  When you enter the name of each vessel you'll be notified that duplicate names are not allowed (annoyance by design).   

 

All vessel specific modules require that the user choose a vessel before entering data.  Once the vessel is chosen it remains the Current Vessel until you change it, or close VMS.  However, you may force VMS to open with the Default Vessel of your choice until you change it or apply an update.  Defaulting to a specific vessel is most useful if data entry is to be performed on a specific vessel and across several sessions, or for the owner/operator of a single vessel.  Click the button Default to (Vessel Name) when VMS Pro Starts.  Notice that the background color of the Name field changes and the field previously titled Current Vessel is changed to Current Default Vessel.  

 

 

To change the Default Vessel, choose another vessel (drop the list of Vessels and choose) and notice that the button title has changed to from Default to (Old Vessel) when VMS Pro Starts to Default to (New Vessel) when VMS Pro Starts.  Just click the button, or leave the opening Default Vessel disabled, or Remove the (Vessel Name) as Default Vessel.

 

You may easily change the Active Vessel from directly within any module that is vessel specific.  These modules will have Vessel Name field (like the one illustrated in the upper box).  Click anywhere inside that field and the Vessel Information module will open.  Choose a different vessel (changing to S/Y Xaiviar Cugat from M/V Abby Lane is illustrated), click Return (hidden under the drop down illustration) and you'll be sent back to the originating module.  An example of use would include moving an inventory item from one vessel to another and then changing to that vessel to modify some aspect the inventory item just moved, like Quantity.  You can change the Active Vessel  as many times as required in a single session.  If VMS is used in a networked environment with several users, each user can define and save their own default vessel.

 

After establishing the vessel Name you may not change the Name directly in the Name Field.  To change the Name open the Maintenance and Backup module after the page is enabled.  

 

Several vessel details are utilized to generate official Crew Lists for immigration, available from the VMS Main Menu.  Official Crew Lists are available for printing in English and Spanish, with more languages in the works.  Stay tuned.

 

After entering information you may click Return to Previous Module to exit Vessel Specifications and return to the Main Menu.

 

Other Functions

You may alternately Protect or Enable page details.  Normally page details are disabled.  After enabling you may Add a Vessel, or Delete a Vessel.  You may generate a printed report about your vessel or fleet.  If you intend to use Purchase Orders or generate Labor invoices, you'll also need to enter information about your business (Business Information button).  You may open the Maintenance module to import data from other Generalist products or make a backup of your current data.  These procedures require various levels of permission and you'll be notified if insufficient permissions exist.
